Terms and Conditions of Revel Festivals

Your tour and adventure begins with Revel X Limited, trading as Revel Festivals. Revel X Limited, with its registered office at International House, 10 Churchill Way, Cardiff, CF10 2HE.

We invite you to carefully review the following terms and conditions governing your participation in our festivals and tours.

1. Booking and Payment

1.1 To secure your booking with Revel Festivals, a non-refundable deposit must be paid at the time of booking. The deposit amount and payment instructions will be provided to you upon booking.

1.2 The remaining balance of the trip cost is due no later than ten weeks prior to the scheduled trip commencement date. Failure to make this payment by the specified deadline may result in the cancellation of your booking, and our cancellation policy (Section 4) will apply.

1.3 We act as the "organiser" of your package within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018 ("the PTRs"). This means we are responsible for the proper performance of all the travel services included in your booking, regardless of whether those services are to be performed by us or by other suppliers.

Before you make your booking, we will provide you with clear and accurate information about the main characteristics of the travel services, the total price, payment arrangements, the minimum number of participants required (where applicable), passport and visa requirements, and any health formalities.

Your booking is a package protected under the PTRs, please contact us directly on [email protected] if you wish to receive a detailed explanation what that protection means for you.

Once your booking is confirmed, we will provide you with conformation of your booking via email. This will act as the contract and will include all essential terms of your holiday: the itinerary, dates, accommodation, meals, included services, the total price, payment schedule, cancellation terms, complaint procedures, details of the financial protection in place for your payments, and our contact details.

Any changes to the pre-contract information provided to you will only be valid if we have clearly communicated them before you confirmed the booking, and you have expressly agreed to those changes.

2. Cancellation and Refunds

2.1 All cancellations must be advised to us in writing and signed by the Group Leader. Written notification is essential to initiate the cancellation process and ensure a record of the cancellation request. Email is preferable. Cancellations are effective on the day they are received by us.

2.2 If you or any member of your party need to cancel your booking, the Group Leader must notify us in writing (email is acceptable). Cancellations take effect from the date we receive written confirmation.

Our cancellation charges are as follows:

  • More than 70 days prior to departure: loss of deposit only.
  • 70 days or less prior to departure: 100% of the total holiday cost.

These charges reflect the genuine costs we will incur if you cancel. Please note that deposits are non-refundable under any circumstances.

2.3 All deposits made to Revel Festivals are non-refundable.

2.4 Refunds, if applicable, will be processed within a reasonable time frame after receiving a written cancellation notice.

3. Price and Payment Variations

3.1 We may increase the price of your travel arrangements only in the following circumstances: changes in the price of fuel, taxes or fees, or exchange rates. If this means you have to pay more than 8% of your holiday price, you may cancel with a full refund. No price increases will be made less than 20 days before departure.

3.2 In the event that the above-mentioned price variations result in a downward adjustment, the price of your holiday will be accordingly reduced, and any refund due will be paid to you.

4. Variation of Booking

4.1 We strive to accommodate your requests to alter your arrangements to the best of our abilities. Requests for amendments must be submitted in writing through our website or by post.

4.2 If you wish to make changes to your booking, we will do our best to accommodate your request. Where we can, an amendment fee of £25 per booking may apply to cover administration costs. If the change is minor, the administration fee may be waived at company discretion. If we are unable to make the change, no fee will be charged.

4.3 If the alteration to your booking results in an increase in the tour price, you are responsible for paying the additional amount due.

4.4 Should you request a reduction in the number of individuals within your party, the remaining party members may be subject to additional charges, including room supplements where applicable.

5. Variation and Cancellation by Revel Festivals

5.1 While Revel Festivals strives to provide tours as described in promotional materials, we reserve the right to make changes to your trip itinerary when necessary. It is important to note that the majority of changes will be of a minor nature. Significant changes will be communicated to you as soon as reasonably practicable.

5.2 A significant change is defined as one that materially alters your tour experience. This may include, for instance, changes to the departure date, or the quality of accommodation.

5.3 If we are constrained before departure to make a significant change to any of the main characteristics of your booking, we will notify the Group Leader as soon as possible, and no later than 28 days before departure (unless unavoidable circumstances make this impossible).

You will then have the choice of:

  • a) accepting the change;
  • b) accepting an alternative arrangement of equivalent or higher quality (at no extra cost) or a lower-priced alternative (with a refund of the price difference); or
  • c) cancelling your booking with a full refund.

The Group Leader must notify us of your decision within 7 days of receiving our notice of change. If you do not respond within this timeframe, we will assume you have accepted the change.

Where appropriate, compensation may also be payable in line with ABTA's Code of Conduct and the Package Travel and Linked Travel Arrangements Regulations 2018.

6. Force Majeure

6.1 Revel Festivals does not accept liability for any loss, damage, or expense arising from changes or cancellations due to unusual or unforeseeable circumstances beyond our control, including but not limited to war, riot, terrorism, nuclear disaster, natural disasters, technical problems, pandemics, strikes, industrial action and adverse weather conditions.

6.2 We do not accept responsibility for you or your party in the event that you contravene any law or regulation of any of the countries visited during your festival experience.

7. Travel Documents and Health Requirements

7.1 It is your responsibility to ensure that all members of your party hold valid passports and obtain any necessary visas for travel. You should also check vaccination requirements for your destination. Revel Festivals is not responsible for any losses resulting from failure to meet these requirements.

7.2 We recommend referring to the official government website for up-to-date information on vaccination requirements and health guidance in the UK.

8. Supervision and Responsibility

8.1 You should ensure that at least one adult over the age of 21 occupies each accommodation, and there should be a sufficient number of responsible adults present to supervise your group during the tour experience.

8.2 Please note that Revel Festivals is not responsible for the conduct or actions of other teams or groups whom your party may interact with or play against during the tour experience.

9. Coach Travel and Responsibility

9.1 Transportation during the tour experience is provided via standard or luxury coach. It is your responsibility to ensure that you arrive at the designated coach meeting points at the times specified in your itinerary. In the event of your late arrival, we cannot be held responsible if the coach has departed.

9.2 If your late arrival results in subsequent delays, particularly for match fixtures, we do not assume liability if the match cannot proceed as scheduled.

9.3 For the safety of all passengers, it is incumbent upon you and your party to ensure that hand luggage is securely stowed and that the aisles are kept clear of obstructions.

9.4 Each member of your party may carry one large suitcase and one item of hand luggage per person. It is also your responsibility to secure appropriate insurance coverage to protect against the risk of loss or damage to all packages and personal belongings.

10. Insurance

10.1 It is a mandatory requirement for all travellers to obtain adequate travel insurance for your tour experience. Revel Festivals can provide information about available insurance options, but it is solely your responsibility to secure suitable insurance coverage.

11. Our Responsibility for Your Festival Experience

11.1 Revel Festivals assumes responsibility for ensuring that your tour experience aligns with the description provided on our website (subject to any significant changes that you are informed of before departure). We also commit to delivering services that meet a reasonable standard. In the event that a part of your experience is not provided as promised, and in accordance with these booking conditions, we are prepared to offer reasonable compensation if we acknowledge that the quality of service was inadequate and impacted the enjoyment of your tour experience, up to a maximum of three times the cost of your travel arrangements.

11.2 Revel Festivals does not accept responsibility in cases where the failure to perform or improper performance can be attributed to:

(i) Your own actions or omissions, or those of any member of your party;
(ii) Actions of a third party unrelated to the provision of your tour experience, provided such actions were unforeseeable or unavoidable; or
(iii) Events that neither we nor the supplier of the service(s) could have predicted or prevented, even with all due care.

11.3 Please note that if you suffer death, injury, or illness during your tour experience as a result of participating in an activity that is not included in the inclusive arrangements booked with us, we bear no liability. Nevertheless, we will provide assistance whenever possible.

12. Complaints and Dispute Resolution

12.1 If you encounter any issues or difficulties during your tour experience, it is imperative that you promptly inform our designated representative at the tour location. This allows us to make immediate efforts to resolve the problem.

12.2 In the event that the issue cannot be satisfactorily resolved at the tour location, we will request your group leader to complete a complaint form. Subsequently, we will conduct a thorough investigation upon your return from the tour and provide you with a comprehensive report of our findings.

12.3 Failure to take either of these steps—informing our representative on-site or completing the complaint form—may affect our ability to investigate your complaint thoroughly and may impact the resolution process.

12.4 These terms and conditions are governed by and shall be construed in accordance with the laws of England and Wales. You may, however, choose to bring proceedings in your local courts in Scotland or Northern Ireland if you are resident there.

12.5 Please note that complaints must be submitted in writing within 28 days of your return from the tour experience.

12.6 If we are unable to resolve your complaint, you may refer the matter to ABTA's Alternative Dispute Resolution (ADR) Scheme, which is approved by the Chartered Trading Standards Institute. This provides a simple and inexpensive way of resolving disputes without the need to go to court. Further information on the scheme can be found at www.abta.com

13. Website Accuracy

13.1 While we make every effort to provide accurate information on our website, it's important to acknowledge that circumstances beyond our control may occasionally necessitate changes to tour details. Consequently, we reserve the right to modify the contents of our website at any time.

14. Property Damage and Liability

14.1 Any damage caused to accommodation, transport vehicles, venues, or any other facilities during the tour experience will be the full responsibility of the participating group.

14.2 The group is required to pay all costs associated with any damage caused by any member of their party immediately upon request. This includes, but is not limited to, damage to hotel rooms, coaches, sporting facilities, and any other venues or equipment used during the tour.

14.3 Failure to pay for damages may result in:

  • Immediate termination of the tour experience
  • The incident being reported to the group's affiliated association
  • Potential ban from participating in future tours
  • Legal action to recover costs

14.4 Revel Festivals reserves the right to report any unpaid damages to the relevant sporting associations or governing bodies, which may result in disciplinary action, including but not limited to the club being banned from future tour participation.

14.5.1 Some accommodation providers may require a pre-authorisation on arrival as a care and respect bond. This is a temporary hold placed on a payment card to ensure that the property is treated respectfully during your stay.

14.5.2 The amount of the pre-authorisation will vary depending on the accommodation provider and will be communicated to the group leader in advance.

14.5.3 The pre-authorisation hold will be released upon departure, provided there is no damage to the property or breach of the accommodation's policies.

14.5.4 Revel Festivals is not responsible for any delays in the release of pre-authorisation holds, as this is managed by the accommodation provider and the guest's payment card issuer.

15. Financial Protection

In accordance with the Package Travel and Linked Travel Arrangements Regulations 2018, we provide full financial protection for all package bookings.

Your booking is protected by Financial Insolvency Insurance arranged with:

This insurance protects you, the customer (beneficiary), in the unlikely event that Revel X Limited becomes insolvent and is unable to fulfil your travel arrangements. In such circumstances, you may be entitled to claim for a refund of monies paid (subject to proof of payment) and, where your trip has already started, for the cost of repatriation or continuation of your travel arrangements.

If insolvency occurs, you must first seek a refund from any other available sources (e.g. your credit or debit card provider, your travel insurance company or similar schemes).

If you are unable to recover your losses, you may then claim under this insurance.
